Separate the cost categories first
Roof, HVAC and security are three projects, not one. Treating them as a single capital need is the most common reason an application is aimed at the wrong programme.
Break the work into categories with costs attached before looking at funders. The categories decide which routes are even applicable.
Eligibility by entity and location
Some programmes are open to any nonprofit; some to congregations specifically; some only to properties within a defined geography or district.
Location can be decisive in a way that has nothing to do with merit. A designated historic district may open a preservation route and simultaneously restrict the alterations you were planning.
Eligible use of the space
Several routes fund buildings used for community purposes but restrict or exclude space used for worship. Others require public access for a defined period.
Read the eligible-use language before the application language. It determines whether the project qualifies at all.
Property restrictions that follow the money
Preservation and capital programmes frequently attach conditions to the property itself: covenants, approval requirements for future alterations, or a period during which the building must remain in a particular use.
These outlast the grant. They belong in the decision, not in the paperwork after it.
Matching and reimbursement
A match requirement means you must have or raise a stated share yourself. A reimbursement structure means you spend first and are repaid after approval.
Both change what the award is worth to an organization with limited reserves, and both are easy to miss when comparing headline amounts.
Quotes and project readiness
Most capital programmes expect contractor quotes, a scope, and a realistic schedule. Some specify how recent the quotes must be.
Work started too early
A number of programmes will not fund work that has already begun, and some define beginning to include signing a contract or ordering materials. Where that restriction applies, starting early can disqualify the whole application.
