What readiness actually means
Readiness is not enthusiasm for a project, and it is not the quality of the cause. It is whether the documents, figures and decisions a funder will ask for exist in a form someone can hand over.
A grant professional cannot write around a gap. If the budget has not been costed, if nobody has decided who signs, or if the last set of accounts is not finalized, those become the bottleneck regardless of how well the narrative reads.
Organizational evidence
Expect to produce your governing documents, your registration or incorporation record, your board or trustee list, and a current description of what the organization does and who it serves.
Requirements differ by entity. Not every private funder requires federal registration, and not every church carries the same filing obligations as other nonprofits. Establish what your specific target funder asks for rather than assuming a general standard.
Project scope and costs
A funder is buying a defined project, not a general need. That means a scope, a timeline, and a cost broken into categories rather than a single total.
For building work in particular, the categories matter more than the sum, because different routes fund different categories and some exclude the one you most need covered.
Financial records and funder-specific requirements
Assemble your most recent financial statements, your current operating budget, and any audit or review the funder's threshold requires.
Then read the specific programme's own instructions. Match requirements, reimbursement structures, allowable costs and reporting obligations vary between programmes that otherwise look interchangeable.
Program outcomes
Be able to say what the project changes and how anyone would know. That means naming the activity, the intended outcome, and the measure that connects them.
Distinguish what you plan to measure from what you have already observed. Both are legitimate; presenting the first as the second is not.
Responsible owners
Every item on a readiness list needs a name against it. Applications stall on ownership more often than on writing, because the person who can produce the missing document was never asked.
What to do when an item is missing
A missing item is not a disqualification. It is a task with an owner and a date. Some can be resolved in a week; some determine that a particular deadline is not realistic and a later one is.
The value of doing this before engaging support is that you find out which kind you are dealing with while it is still cheap to know.
When to engage support
Engage once you know what you are applying for and can hand over the inputs above, or engage specifically for a readiness review if you cannot yet. Those are two different scopes with two different prices, and conflating them is how organizations end up paying application rates for document-gathering.
